Automation credits

What one automation actually means

“Ten automations” can mean ten simple notifications or ten enterprise integrations. We price in credits so the number on the card means something. Final classification is confirmed in discovery, before you pay for a build.

1 credit

Simple

One trigger, up to three routine actions, one or two apps, no custom API, predictable input.

Example: a new form submission creates a CRM contact and posts a Slack message.

2 credits

Standard

Branching or approval, two or three apps, one controlled AI classification, extraction or drafting step, error handling.

Example: incoming invoices are classified by AI, matched to a supplier, and routed for approval before booking.

4–8+ credits

Advanced

Custom API, knowledge retrieval, variable OCR, multiple departments, high volume, sensitive data, voice, legacy RPA or advanced evaluation.

Example: a support assistant answers from your documentation with retrieval, escalates uncertain cases, and logs every answer for review.

What increases the price?

None of these are hidden surcharges. They are the things that move a workflow from “simple” to “standard” or “advanced”, and we tell you in discovery which apply.

Data sensitivity

Personal, financial or health data needs minimisation, retention rules, access reviews and sometimes EU-hosted or private model options.

Custom APIs

Systems without a ready connector need code, authentication handling, error handling and tests of their own.

Legacy desktop software

Applications with no API at all require screen automation or file-based bridges, which are slower to build and more fragile to maintain.

Voice

Telephony, speech recognition and real-time handling add vendors, latency constraints and a different testing regime.

High volume

Thousands of runs a day change the platform choice, the cost caps, the retry logic and how failures are surfaced.

Advanced retrieval

Knowledge assistants need document preparation, permission mapping, citation checks and an accuracy test set before anyone relies on them.

Regulated decisioning

Anything touching employment, credit, insurance, tenancy or health decisions needs a separate assessment and, usually, specialist legal review.

What is not included?

  • VAT or other applicable taxes.
  • Third-party usage: automation platform fees, AI model usage, telephony, hosting and SaaS licences. These are paid by you in your own accounts; we estimate them in the proposal.
  • Unlimited changes. Each package includes a fixed number of revisions; further scope uses a written change order or a care plan allowance.
  • Content and copywriting. We draft workflow messages and templates; marketing copy and brand voice work are yours or a separate engagement.
  • Legal review. We flag where data-protection or AI Act review is needed; the review itself is done by your legal adviser.
  • Hardware and on-premise infrastructure.

Acceptance means the written acceptance criteria from the scope card have been met and you have confirmed it. No milestone is invoiced on a promise.

The paid audit, and how it is credited

When a process is too unclear or too sensitive for a fixed package, the Automation Opportunity Audit comes first: a workflow inventory, an impact/effort matrix, a measured baseline, an architecture recommendation and a written scope for the first workflow, delivered in five to seven business days.

It costs €750, excl. VAT. If you commission Solo or a larger package within 60 days, the full €750 is credited against the implementation fee. If you decide not to proceed, you keep the documents and use them with anyone.

The free Opportunity Scan asks nine questions about one process and suggests a package with the reasoning shown: Pilot, Solo, Team, audit first, or “not a good candidate yet”. It is not a quote and it does not need a sales call.

Questions about cost

How much does AI automation cost for a small business?

With us, a single pilot workflow is from €1,250 and a five-credit Solo package is €2,750, both excl. VAT. Running costs on top are usually modest for a small team: platform subscription, AI model usage and any SaaS you do not already pay for. We estimate these in every proposal so there is no surprise in month two.

Why fixed prices instead of hourly rates?

Because you should know what “done” costs before you start. Fixed scope forces us to write acceptance criteria up front, and it means our incentive is to build the simplest thing that works rather than the longest project. Where scope is genuinely unknowable, we use the paid audit to define it, not an open-ended hourly engagement.

What happens if the workflow needs more credits than the package allows?

We find out in discovery, before the build. You can then reduce scope, upgrade to the next package, or commission the extra credits through a written change order at the published credit rate. Nothing is added to the invoice without your written agreement.

Do I have to buy a care plan?

No. Every package includes a support window after launch, and you own everything we build, so you can maintain it yourself or with anyone else. Care plans from €290/month exist because most teams prefer someone to watch the logs, test after model updates and make small changes. The initial term is three months; after that it is monthly.

How do I estimate the return before committing?

Use the ROI calculator. It shows the formula, lets you change every assumption and gives a payback estimate, not a guarantee. If the payback on a pilot looks longer than a year with honest inputs, we will usually suggest a different process to start with.

Can I pay in GBP or USD?

Our list prices are in euros. For UK clients we can agree a GBP figure in the statement of work at the time of quoting; we do not use live exchange rates on the website. Contracting and invoicing details are confirmed before any payment is taken.
